GRADUATE ENGAGEMENT & OPERATIONS INTERN

JOB TITLE: Graduate Engagement & Operations Intern

STATUS: Part-time, non-exempt 
LOCATION: Hybrid, St. Paul, MN 
REPORTS TO: Executive Director 
SALARY RANGE:
$20-25 an hour 
HOURS: 16 hours/week 

POSITION SUMMARY:

The Graduate Engagement & Operations Intern supports Students United’s development, event, communications, and engagement work. The intern provides substantial coordination and administrative support for grants, alumni and donor data, sponsorships, fundraising campaigns, events, and approved communications projects. The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple priorities in a collaborative small-nonprofit environment.  This is an off-campus position where interns are required to be in the office or have in-person collaboration time at least once a week.  

HIRING TIMELINE:

  • October 18: Applications Close 

  • October 19 – 20: Hiring committee reviews applications and notify selected candidates for an interview  

  • October 22 – 23: In-Person Interviews for selected candidates 

  • October 26: Extend offer of the role  

  • November 10: Target start date  

POSITION RESPONSIBILITIES:

  1. Events, Trainings, and Retreats 

    • Coordinate assigned event logistics, timelines, registration, vendors, materials, participant communications, follow-up, and day-of implementation under the designated permanent staff lead. Major events include the Advocacy in Action Conference, the Penny Golf Scramble, and the 60th Anniversary Celebration. This position will be the lead for the Advocacy in Action Conference. 

    • For fundraising events, serve as the primary coordination/logistics support to the Development Director, including sponsorship tracking and fulfillment. 

    • Support participant follow-up, accessibility, Board/committee logistics, and assigned trainings/meetings. Attend required staff/Operations meetings and assigned events; keep tasks, deadlines, handoffs, and blockers current in Asana. 
       

  2. Development Support

    • Grants: conduct preliminary prospect research; maintain grant calendars, files, Asana tasks, attachments, deadlines, and status; collect required materials; assist with assembly, portal entry, proofreading, and submission preparation. 

    • Alumni & CRM: Research and verify alumni/donor information; update and clean DonorDock records; support deduplication, coding, segmentation, lists, documentation, and relationship/next-step tracking.  

    • Donor, Campaign & Sponsorship Support: prepare acknowledgments, donor materials, campaign lists/materials, and stewardship communications; research sponsors and track outreach, commitments, benefits, invoices, recognition, fulfillment, and follow-up. 

    • Systems & Reporting: maintain assigned Development projects/workflows in Asana; document recurring procedures; assist with routine pipeline, campaign, sponsorship, and revenue/activity reporting; maintain confidentiality and data-security standards. 
       

  3. Communications & Engagement Support

    • Complete approved routine website updates and help format, produce, and publish approved content for fundraising, events, alumni, and engagement projects. 

    • Create routine social media graphics/materials in Canva using Students United branding and approved content; support assigned campaign/project performance tracking. 

    • Support approved outreach with students, alumni, donors, funders, partners, and event participants; complete other related duties consistent with the agreed work plan and available capacity.

MINIMUM QUALIFICATION AND/OR EXPERIENCE

  • Actively enrolled in a graduate program at the time of application and able to commit to the role for approximately two calendar years (until the end of 2028).   

  • Excellent written/verbal communication; strong organization, project-management skills, and attention to detail. 

  • Ability to work independently and in a collaborative team, follow established processes, manage multiple priorities/deadlines, and handle confidential information appropriately. 

  • Comfort learning digital systems for project management, CRM/database work, events, communications, and reporting; commitment to Students United’s mission and values. 

PREFERRED QUALIFICATIONS & EXPERIENCE

  • Coursework or experience in development/fundraising, event planning, communications/PR, nonprofit operations, student engagement, or a related field; experience with cross-functional projects, CRM/data, events, donor/alumni engagement, or fundraising campaigns is helpful. 

  • Experience with Microsoft 365 (Outlook, Teams, Word, Excel, SharePoint), Asana, Canva, Eventbrite, and CRM systems preferred. Students United uses DonorDock; prior DonorDock experience is not required. 

  • Knowledge of Students United, Minnesota State, or student-led advocacy organizations is preferred.
